The 4-Week Rescue: A Moody, 700-Candle Indian Wedding at The Wellsley Chicago

Cultural celebrations are our absolute bread and butter. They are vibrant, deeply intentional, and logistically complex. So when a couple came to us just four weeks before their wedding day because their original planner got entirely in over their head and dropped the ball— I was a little hesitant to take this wedding on if I'm being honest.

To give you an idea of the crunch time: at the one-month mark, the couple still didn't have a caterer secured, their linen orders were completely unverified, they didn't have any decor or florals, no timeline, and their rehearsal dinner location was up in the air.

With nerves running high for both the bride and the mother of the bride, we took over the reins. We audited the messy contracts, organized the chaotic phone calls, and completely rebuilt the logistical foundation of this day in record time.

The Design: Dark Academia Meets 700 Candles

The couple came to us with a distinct visual dream: an intimate, moody, dark academia vibe. But finding a rental vendor in downtown Chicago who can supply mass decor on less than 30 days' notice is nearly impossible.

We leaned on our trusted network and called in a massive favor from one of our go-to Milwaukee decor teams, Adorn Event Co. They came in absolute clutch, driving down to Illinois with over 700 candles to bring the vision to life inside the venue.

To anchor the moody atmosphere, we coordinated with Windy City to iron out the linen chaos left behind by the previous planner. We nailed down a breathtaking, rich combo of satin black and velvet burgundy linens that perfectly complemented the iconic midcentury bars and atmospheric architecture of the space.

Pre-Wedding Festivities & The Logistics of a Downtown Baraat

While the main celebration took place at the venue, the Westin Chicago served as the ultimate home base for the wedding weekend. The hotel came in clutch last minute, providing the perfect lounge spaces for the couple's morning preparations and portraits. They even hosted a last-minute Mehndi party the night before so the women could gather, have their henna done, and celebrate the bride.

The next morning, it was time for the Baraat. Because of the tight timeline, pulling city permits to shut down major downtown Chicago streets wasn't an option. Our workaround? We budgeted a generous cushion of time into the morning itinerary and rented a car last minute, allowing the groom and his family to safely dance and navigate their way across a vibrant, six-block procession from the hotel over to the venue.

Real-Time Pivots: When the Timeline Tests You

On the wedding day, a few sudden shifts required instant, behind-the-scenes engineering:

• The Late Priest: The priest arrived late, immediately pushing the ceremony start back by 30 minutes and putting the initial timeline an hour behind.

• The 60-Minute Room Flip: To catch up, the venue utilized a grand curtain to usher guests out of the space while my team condensed a standard 90-minute room flip into a lightning-fast 60 minutes. Which again, another shoutout to Adorn for setting all 700 candles in less than an hour and everyone who helped light them!

• The Mandap Cover-Up: During the ceremony transition, we noticed stains and spills all over the stage and mandap stage covering. Thinking fast, we shifted the design on the fly, placing the sweetheart table directly on the stage to flawlessly mask the blemishes before guests walked in.

• The Outfit Change & The Marathon Speeches: The groom’s father departed during cocktail hour for a quick outfit change at the hotel, and a total of nine family speeches ran incredibly long. To protect the party, we pivoted on the spot—shortening the formal timeline, extending the open dancing window, and scaling back the upstairs afterparty so the dance floor could stay packed.
